3 Small But Significant Tips to Effective Delegation to Your VA

 

I was going to prepare a blog checklist on the top ten effective delegation tips, but you are already aware of those, aren’t you? 

(Let’s recap: i) concise instructions, ii) open communications, iii) building trust and rapport with your VA, iv) defining expectations, etc).

Instead, I’ll set out some tried and tested quick tips to effectively delegate to your VA using your business toolkit saving you lots of time.

Let’s take a look: -

  • WHATSAPP: invaluable for sending notes on the go – emails to type but no time? Need to send some tasks or quick instructions? A quick daily check-in to keep open communications. A good voice note will save a lot of time.

  • LOOM: a video messaging tool that allows you to record your screen and share videos easily. It’s perfect for tutorials, presentations, and quick updates. 

  • Try recording your daily workflow for a day and share that with your VA. Ask them to watch it and pick out any tasks they can do for you. You will be surprised how much they can do for you. 

They can speed up the video and slow it down when necessary. It’ll always be there for your VA to watch again and refer back to when needed. One of my clients uses it to show me how to draft specific legal forms online, saving them a lot of time as all they need to do is review the form and submit it.

  • You can use Loom to provide verbal feedback on an onscreen document – a quick way of sending your edits or comments to your VA.

  • OTTER AI: a transcription software that converts spoken content into text. It captures  important notes and actions which you can then share with your VA to undertake tasks such as client onboarding, preparing file notes, managing action tracking and disseminating the tasks to a team. 

The transcript summaries are not perfect (yet) but for a VA with initiative and a good grasp of grammar, it is a simple task to edit a summary or attendance note.

The key is entrusting your business to an experienced VA who is proactive, autonomous with plenty of initiative who continuously looks for ways to reduce your workload.
