What’s in My Business Toolkit? The Best Admin Platforms 2025
There are quite a number of tools that I use to run my business, and that of my clients, effectively. I am constantly learning and adapting so I am always open to changes and developments.
These are the tools that I currently use every day that make life so much easier and save a lot of time.
Toggl Track: This time tracking tool not only helps me to optimise my time but also produces detailed reports (including easy to read pie charts) for full transparency and provides insights into project performance. It also helps me to understand in detail where my time is spent by categorising into projects of tags. It also integrates with other tools such as Asana and has an invoicing feature.
Google Keep: My versatile note-taking app which I use to capture ideas, all kinds of lists, to set reminders, to leave myself voice notes, to complete a short dictation to save time on typing – so many uses. I can upload attachments and photos to my notes and colour-code them by category. It’s my all-in-one mobile tool for staying organised and making sure nothing slips through the cracks.
Canva: An easy-to-use design platform for creating graphics, social media content, merchandise, presentations, business cards, letter templates. It’s invaluable and is still pretty unbeatable for price and delivery.
Asana: My go-to project management tool for keeping my client projects organised, enabling me to track progress and meet deadlines. And who doesn’t love a unicorn dancing across the screen on task completion?
Perplexity: An AI-powered search assistant that provides quick and accurate answers on anything that you need to ask it. It is a huge time saver on research and analysis, can help you come up with ideas and help craft templates making it quicker to adapt and personalise your content. Everything gets saved into your library for future reference. I have saved so much time using this as a starting base for in-depth research on a huge range of projects.
Microsoft 365: All my clients currently use the Microsoft suite. Some also use Co-Pilot which is a game changer for productivity, and we are only just getting started.
SmartEdgar: A social media scheduling tool that automates posts across platforms saving so much time and ensuring you stay consistent with your online presence.
Loom: A video messaging tool – it is so easy to record your screen to create a tutorial or a presentation and easy to share. I talk about this tool for productivity and delegation in my last blog post, “what to outsource to your virtual executive assistant”.
Otter.ai: a transcribing software that converts spoken content into text. I use it for shorter client meetings to cut down on time preparing a summary and action items as well as back up during Board meetings where discussions can occasionally become complex.
