But What If I Can’t Let Go? Answering the Real Questions Behind Outsourcing for Founders & Small Businesses

Quick Summary: In a rush? The core answer is: Start by identifying tasks that are recurring and process-driven. The average Izz Whizz VA client relationship lasts more than 2.5 years because trust is built through building strong relationships and consistently high and reliable standards.

There’s a moment almost every founder or business owner reaches. The to-do list has stopped being a list and become a weight. “I can’t keep going like this, I'm going to drop something”.

Something has to give and yet when you picture handing part of your business to someone else, a nagging voice pipes up: but what if they get it wrong? What if I lose control? What if it’s actually more hassle than it’s worth? How will I find time to train them? I don’t even have processes set up yet.

I hear these questions all the time and it’s entirely natural and normal. You’ve worked so hard building your business, it’s your baby and you care deeply about doing things exceptionally well to your standards.

I hear how you feel, I’m a business owner too and I’ve had the same thoughts and worries. I want to reassure you and help you see how it could work for you too.

Here are the questions I hear most often from founders considering outsourced support, and the honest answers.

What can I actually outsource to a VA for founders & small businesses?

More than most people expect, and usually start outsourcing the admin tasks that surreptitiously eat the most time: inbox and diary management, meeting prep and follow-up, client onboarding, invoicing, research, travel booking, CRM upkeep, and the operational admin that keeps a business running smoothly in the background.

The better question is often not “what can I hand over to my Virtual PA” but “what should only ever be done by me?” Once you separate the two, the outsourceable pile is usually much bigger than the irreplaceable one.

That’s where clarity, not more hours in the day, becomes the real unlock.

Is hiring a virtual assistant actually worth it?

Worth it compared to what? To doing it yourself?

Every hour you spend on admin is an hour not spent on the parts of your business only you can do; the strategy, the relationships, the decisions that move things forward. When you price your own time against the cost of outsourcing it, the maths tends to answer itself.

It’s also the invisible worth: the mental load of holding every task in your head has a cost, even when it’s not on an invoice. Giving that back is often what clients tell me they notice first.

Virtual assistant vs. hiring an employee - which is better?

It depends on what you actually need and often is down to the stage your business is at.

An employee brings fixed cost, fixed hours, and the full weight of recruitment, training, and management. A virtual assistant, particularly through an established agency, brings flexibility: retainer or project-by-project support, interim cover when you need it, and a team behind the person skilled in several areas.

For many founders and SMEs, it’s not an either/or. It’s simply the right-sized support for where the business is right now. And for some, a hybrid of employees and outsourced support is the right combination.

I can help you work this out based on my experiences of working with businesses at all stages of their journey right from having just set up to multi 7 figure companies.

Can I really trust someone else with sensitive information?

This is the question underneath most of the others, and it deserves a proper answer rather than reassurance alone.

At Izz Whizz VA, trust is built into how we operate. We’re ICO registered, and covered by professional indemnity, cyber, and public liability insurance. Every team member is personally vetted before they work with a client.

My own background includes IP paralegal training and two decades in senior EA roles within international law firms and from sitting inside the conversations of many Board rooms, where confidentiality is a prerequisite. I have lived and breathed it for decades.

We’re a curated, small team by design. A well-supported, fairly paid team is an excellent and invested team. They follow my frameworks and standards for confidentiality, security and privacy.

How long does it take to onboard a virtual assistant?

Shorter than most people think and it doesn’t require you to document every process before you start. We create a playbook of your business for you as we go ensuring your ways of working and your standards become documented.

A good VA relationship begins with listening: understanding how you work, what “done well” looks like to you, and where the pressure points are. The most important thing you can give your VA especially in the early days is plenty of context.

From there, handover happens gradually, task by task, so nothing feels like a leap of faith.

It helps to know this isn’t usually a short-term experiment for our clients. Our average client relationship runs around two and a half years which tells you onboarding isn’t the hard part. Trust, once earned, tends to stay.

Every one of these objections comes back to the same root: fear of losing control and trust. But the founders who outsource well don’t lose control, they trade the exhausting kind of control (doing everything yourself) for the kind that actually matters (knowing it’s being handled properly, by someone who takes ownership so you don’t have to make every decision). Trust is earned and is a two way street.

I firmly believe that:

You can do anything. But you shouldn’t have to do everything.

If you’re weighing this up for your own business, I’d love to talk it through - no pressure, no sales pitch, just an honest conversation and curiosity about what outsourcing could look like for you.
